Booster Club Board Positions
Membership
• Update annual membership form
• Obtain parent emails by team
• Follow-up for participation
Spiritwear
• Help design t-shirts, sweatshirts, and other apparel items; get feedback from the Booster Club
• Order non-apparel items, such as stickers, back tags, yard signs, etc.
• Solicit quotes from vendors and order
• Take and manage all orders from parents/players
• Distribute items once received early in the season, prior to start of district
• Order and distribute playoff t-shirts, if applicable
Fundraising
• Create an opportunity for team fundraising – one event
• Develop creative ideas for community support
Concession Stand Manager (Staffing)
• Recruit volunteers throughout the season to work the concession stand
• Manage and follow-up with volunteers and ensure we have coverage each game
• Ensure we meet training requirements
• When necessary, open and/or close and clean up concession stand each game
• In addition to home games, CHS hosts basketball playoff games - Big opportunity!!
Concession Stand Manager (Food)
• Responsible for stocking the concession stand
o Manage the concession stand for home games for the entire season
o Plan, purchase and determine amount of food/drink/snacks needed for each game
o Determine what equipment, utensils, or appliances are necessary
o Create a concession stand report to submit to Board, expenses vs. revenue
Program/Media Guide
• Gather ALL information for the program; work closely with Coach, SRM, and Designer
o Player content
o Senior profiles / Coach profiles
o Superintendent / Principal / AD letters
o Sponsor Ads (from Sponsorship Relationship Manager)
o Schedule & Team info
o Any other info needed
o Proofread thoroughly
o Send to Printer, Pick -up final product, and distribute to families
• Program distributed to families at banquet
Social Media Coordinators
• One for each team – Varsity / JV / JV2/ Freshman A / Freshman B
• Post updates at each event
• Write and post updates / articles for Coppell Athletics when requested
Freshman Liaison
• Conduit from the program to the freshman parents
• New parents have questions on how program works and logistics of being at 9th grade campus
• Weekly updates sent to the parents on the week ahead
• Sounding board for the parents for issues / concerns
Game Night Coordinator (All Home Games)
• Drive, promote, and market the basketball games to the students and Coppell community
• Create and order invitations, magnets, and other items to get people to come to the games
• Determine halftime performances, contests, games, etc. to engage the crowd
• Solicit halftime sponsorships or purchase prizes for contest winners
• Lead hospitality team**
Action Photography
• Work with hired photographer to take pictures during games; goal is to get at least one good action shot of
every basketball player
• Work with photographer on pictures for website
• Designate a lead from each team; check progress & follow-up throughout season to see if every player is covered
• Have photos printed and purchase frames for the photos
Website
• Work on content for Coppell Basketball website
• Coordinate updates and links on website to Coppell Athletics / spirit wear store
Game Night Signs
• Drive, promote, and market the basketball games to the students and Coppell community via posting yard
signs and banners
EVENTS
Homecoming Parade –
• Find out all the details/theme about the parade and share with board
• Determine what the players will do and /or hand out during the parade
• Coordinate with Coaches to communicate to players
• Organize the players at the parade and supervise during the parade
• Take pictures
Tip-Off Parent Meeting (Thursday Nov 2nd)
• Create a welcoming and engaging event to welcome all parents to the basketball program
• Determine the date with the Booster Club board and Coach
• Reserve the Arena with Coach / AD
• Determine the layout of the event, decorations, schedule, etc.
• Determine menu
• Include other key members from board: spiritwear, game day meals, sponsorship, concession stand,
tournament lead, etc. to be available so parents can order or sign up to volunteer
• Clean up after the event
Teacher Appreciation Night (Tuesday, Jan 16)
• Work with Coach to get players to submit picks and notify teachers
• All players will write a thank you to their teachers (booster club provides the card)
• Purchase gifts or small tokens of appreciate for each teacher (usually shirts and a meal)
• Create, organize, line-up the players/teachers during the night of the event for photos
• Include players, managers and trainers
Senior Night (Friday, Feb 2nd)
• Gather information on each senior and their family (may need Coach's help)
• Determine who will attend and create a script
• Get flowers for each family and gift for senior
• Line-up players and parents the night of the event and take photos
• Include senior players, managers and trainers
End of Year Banquet (Mar/Apr TBD)
• Reserve the location (date and time will be determined by board)
• Determine the food and drink options and manage catering, etc.
• Determine the decor and set-up for the event
• Manage the RSVP list, selling tickets, and follow-up with parents
• Help determine the schedule of events
• Work with action photo coordinator for photo for each player to be printed and framed
• Set-up "check-in" table for night of the event
• Clean-up and breakdown
Picture Day Coordinator (Tuesday Oct 31st)
• Establish date and time with photographer and Coach
• Create organized flow of registration / selection / picture taking
• Work with Game Day Coordinator on videos
• Obtain media guide photos for team / cover / seniors
Game Day Meals
• Work with local establishment for parents to purchase meals for players on all teams
• Work with restaurant to set up delivery times/dates
• Submit coaches’ orders on game days.
Community Service
• Find a volunteer opportunity; be the main point of contact
• Determine date, time, location, etc. with the help of the Booster Club and Coach
• Work with Coach to strongly encourage participation and communicate to players.
• Supervise the players/volunteers during the activity or event
• Take pictures or assign someone to take pictures during the activity or activities
Coppell Tipoff Classic Tournament (Nov 16-18)
• Recruit& Manage volunteers for the duration of the tournament
• Manage the ticket gate, money, and volunteers to work the gate
• Set-up the hospitality room for visiting coaches and referees
• Ensure hospitality room is stocked with food & drinks all 3 days (mostly donated by parents & donated by restaurants)
• Ensure the concession stand is ready
• Create a program for the event
